# Co-Editor Manual

> For every family member invited to help tend a loved one's memorial space. This manual walks you step by step through everything from accepting your invitation, to writing the life story and organizing the media. It also honestly explains what the current version "can and cannot yet do," so you will not get stuck in the midst of your companionship and remembrance.

## Your Role

**Co-Editor (Editor)** is a content collaborator of this memorial space. You can edit almost all of the content in this space — the life story, the Media Archive, AI oil paintings, the cover main visual — working together with the Primary Manager to slowly preserve a person's whole life.

At the same time, some things are not within a Co-Editor's remit: **inviting and removing members, the various settings of the memorial space, and "Time Letters."** These are handled by the memorial space's **Primary Manager** (Primary, also called "Primary Manager" on screen). This division of labor keeps governance responsibility single and clear, avoiding the confusion of many people each making changes — so you can focus on the content itself.

> A small note on names: most places on screen call you "Co-Editor," but in a few menus (for example, changing a member's role, or the danger-zone dropdown) you will see the word "Editor" (編輯者). The two refer to the same role, so please do not worry.

## Login URL

- Digital memorial platform (family side): **https://your-tenant.curate.memorial**
- The first time you enter, click through the **dedicated link in your invitation email** directly; on later visits use the URL above and log in with your email + password.
- The actual URL and login method should follow those provided in your invitation email and by your Account Manager.

## 1. Accept the Invitation and Enter

When the Primary Manager (or the Account Manager helping to open the account) adds you as a Co-Editor, the system sends an invitation email to your inbox. The whole entry process is simple, and once you are in you can start collaborating right away, **without waiting for anyone to "approve."**

1. Open your inbox, find the invitation email whose subject includes "inviting you to join the … memorial space," and click the dedicated link inside.
2. The link takes you to the invitation landing page, which shows which memorial space is inviting you.

3. Then follow the on-screen instructions:
- **If you do not yet have an account on this platform**: fill in your name and email, and set a password. The system sends a **6-digit verification code (OTP)** to your inbox; enter it to complete registration. The code is valid for 5 minutes.

- **If you already have an account**: simply log in with your password.
4. Once done, the system **automatically takes you to this memorial space's home page**, and you can begin collaborating right away.

> A gentle reminder: the invitation link is bound to "this memorial space." If you later want to help tend another family member's space, you will need to receive a separate invitation for that space. The link is valid permanently — even if you do not have time to register right away, when you later register an account with the same email, the system will automatically connect you to the original invitation.

## 2. What I Can Do and What I Cannot Change

This chapter is the one page a Co-Editor most needs to understand first.

The spirit of a family shared record is this: the content **is not limited to what you uploaded yourself** — content uploaded by any Co-Editor in the space can be added to and organized by everyone together.

### The Parts You Cannot Change

When you try to enter the settings page, the system clearly blocks it and explains:

Your dashboard and memorial space menus will also not show a "Settings" entry — this is normal, not a malfunction:

### About the "Time Letters" Tab

"Time Letters" are private messages that the **honoree** (while living) set aside for future family members. By privacy design, this tab **is visible only to the honoree themselves**; even if you are a Co-Editor, as long as you are not this honoree, the tab **does not appear at all** on screen, and there is no hint of it. This is a deliberate privacy protection, not a display error. On the memorial space home page you will see three tabs: **Life Story, Media Archive, Healing**.

## 3. Content Collaboration in Practice

### 3.1 Turning On Edit Mode

The memorial space shares one page for browsing and editing; the only difference is the **"Edit" switch in the bottom-right corner**. Flip it on and the screen enters edit mode: fields such as the opening line, cover, floral theme, and card frame become clickable and editable; flip it back off to return to the ordinary browsing view.

### 3.2 Life Story: Biography (Bold and Italic Available)

1. Switch to the "**Life Story**" tab and turn on edit mode.
2. The biography area is at the top; click it directly to enter the long text. It supports basic formatting: **bold**, *italic*, links, and bullet points.
3. The biography uses **auto-save** — when you click elsewhere (the field loses focus), the system saves it, with **no separate "save" button**, so you need not worry about forgetting to save.

> A small note: photos added within the biography area are gathered into a system album called "**biography photos**" (up to 3), stored separately from ordinary media for easy finding later.

### 3.3 Life Story: Adding Records and Attaching Media

A "record" writes down the important moments of a life, one entry at a time.

1. Below the "Life Story" tab, add a record and choose one of three templates: **Milestone, Life Event, Cherished Memory**.
2. Fill in the title, date, and content. The date can use modes such as "exact / decade / period / uncertain," so it is fine even if you cannot recall the precise day.

3. To attach photos, videos, or sound, there are two ways:
- **Upload directly**: select and upload the file directly within the record (this media is also gathered into the system album "Life Story").
- **Choose from an album**: select from existing media in the Media Archive.

> Please note in the current version:
> - **Records can be reordered by dragging with the handle on the left, and the order is saved** (since 2026-07-23): after dragging and refreshing, the order stays unchanged. (When dropping, drop the record card **onto another record card** before releasing for it to take effect; dropping into the gap between cards does not apply.)
> - After deleting a record it **cannot be restored, and there is no recycle bin**, so please reconfirm before deleting.

### 3.4 Media Archive: Albums and Uploading

1. Switch to the "**Media Archive**" tab and turn on edit mode.
2. Add an album and name it (for example, "wedding album"). One album can hold **photos, videos, and sound** all at once, with no need to create separate ones.

3. Enter the album to upload media. The filter bar above lets you quickly switch the view by "All / Photos / Videos / Sound."

> Please note in the current version: when uploading larger files (for example, a photo over 6 MB, or a long video), the system shows a **reminder** that "the file is large and transfer may take a while," but you **can still continue the upload**; it is not blocked.

### 3.5 Lightbox: Editing Captions and Setting the Opening Main Image

Tapping any media opens the "lightbox" enlarged view. In the lightbox in edit mode, you can:

- Add a **caption** to this media (each caption is up to about 50 characters).
- **Set a photo as the opening main image** (shown in the memorial space cover position).

> Please note in the current version:
> - The lightbox **currently does not provide a "download" button**.
> - Deleting media has a pre-deletion confirmation prompt; once deleted it **cannot be restored**, and there is no recycle bin, so please be sure to confirm before deleting.

### 3.6 Cover, Floral Theme, and Card Frame

In edit mode on the memorial space home page (at the bottom of the screen), you can personalize the overall look:

- **Cover photo**: tapping "change cover" opens the file picker directly to upload. (In the current version, changing the cover has no "choose from album" path; simply select the file directly.)
- **Floral theme**: for example, orchid / lily / wildflower.
- **Card-frame style**: for example, classic frame / feathered frame.
- **The opening line**: tap "tap here to enter a line…" at the top of the home page to edit it.

### 3.7 AI Oil Painting (Optional)

You can apply an AI oil-painting style to a single photo, producing an archive work that is gathered into the system album "AI Oil Painting." Nine styles are currently available.

> Please note in the current version:
> - If an individual style temporarily cannot be completed during production, the screen prompts "the work could not be completed; please choose another style" — **an unsuccessful work does not use up your production quota**, so you can confidently choose another style and try again.
> - Each memorial space has a maximum number of AI oil paintings; if the limit is reached, the system blocks it and guides you to contact your Account Manager for more.

## 4. What if You Are Also the Honoree?

In very rare cases, one account is **at the same time** a Co-Editor of a memorial space and set as the "**honoree**" of that space.

- The "honoree" (isHonoree) is an **independent identity flag**, and is **unrelated** to whether you are a Primary Manager, Co-Editor, or Viewer — the two are separate matters. This flag is set on the business side (by the Account Manager).
- Once you are set as the honoree, your memorial space home page gains **an additional "Time Letters" tab**, which is a private editing interface **exclusive to you**: you can pre-record or write messages for future family members, and set the release timing and recipients. Others in the space (even the Primary Manager) cannot see this tab, nor the content inside it.
- For the full operation of Time Letters (composing, setting recipients, choosing release timing, viewing delivery records, and so on), please refer to the "Time Letters" chapter of the **Primary Manager User Manual** — that chapter's guidance applies equally to any account set as the honoree, not just the Primary Manager.

> If you believe you have been mistakenly marked as the honoree (or that someone else should be the honoree), this flag cannot be changed by yourself on the user side; please contact your Account Manager for help.

## Frequently Asked Questions

**Q1. I can't see "Settings" — is it broken?**
No. The settings of the memorial space are limited to the Primary Manager, so a Co-Editor's screen simply does not show a settings entry; if you go directly to the settings URL, you will see an explanatory page saying "settings are limited to the Primary Manager." This is normal by design.

**Q2. Why don't I have a "Time Letters" tab?**
Time Letters are visible only to the "honoree." If you are not the honoree, this tab will not appear — this is a deliberate privacy protection, not a display error.

**Q3. Can I invite other family members to edit together?**
In the current version, inviting, removing members, and changing roles are all handled by the Primary Manager. If you want to add someone, please contact the Primary Manager for help.

**Q4. I dragged the records into order; will it be kept after a refresh?**
Yes (since 2026-07-23). Drag-ordering is now saved and stays unchanged after a refresh. When releasing, remember to drop the record card onto another record card for it to take effect.

**Q5. Why is there no download button in the lightbox?**
The current version of the lightbox interface does not provide a download button. If you need to obtain the original files, you can ask your Account Manager.

**Q6. I deleted some content by mistake — can I restore it?**
We are sorry, but the family side currently has no recycle bin or self-service restore feature; once deleted, it cannot be restored. The system always shows a confirmation prompt before deletion, so please be sure to confirm before acting.

**Q7. A "the file is large" reminder popped up when uploading a big file — does that mean I can't upload?**
You can upload. That is only a thoughtful reminder that the transfer may take a while, and it does not block the upload.

**Q8. Why do I see two names, "Editor" and "Co-Editor," in different places?**
The two refer to the same role. The current version uses "Editor" in a few menus and "Co-Editor" in the member list; they are completely identical in function, so please use it with confidence.
